Qualifications: The Vice President of Gas Operations is seeking to hire a Senior Secretary. The ideal candidate must be positive, self-motivated and an agile learner. The candidate must possess strong administrative and organizational skills, be able to handle multiple assignments simultaneously and communicate directly and respectfully.A high school diploma and/or formal secretarial training and five (5) years work experience are required. Work experience will include the following: Must be proficient in the use of Outlook, Microsoft Office products (including but not limited to Word, Excel, and PowerPoint) and knowledge of intranet applications. Must be flexible, demonstrate a strong customer focus, and be able to work under pressure. Must possess a can-do attitude and should be an independent worker who requires little direction. Must maintain confidentiality and demonstrate the ability to deal with sensitive issues. Writing samples will be requested as part of the application process. Candidate should be able to plan the work and work the plan, seek and accept responsibility, improve continuously, work in teams, communicate openly and celebrate success. Experience dealing with government or regulatory agencies, executives, customers, and union officials is preferred. Knowledge of Procurement Card policy and procedure is preferred. Knowledge of company mainframe systems is preferred.
Responsibilities: The Senior Secretary will be responsible for tracking tasks assigned to the Vice President and her direct reports, persistently following-up on required items, and bringing open items to closure. Responsibilities include screening calls, receiving visitors, maintaining files, scheduling appointments and meetings, transcribing notes and preparing correspondence - often sensitive in nature. Must have professional, polished communication skills in person, over the phone, and through email. Must have a professional telephone demeanor and must be able to communicate effectively by routing calls properly, taking concise messages, and resolving callers’ inquiries. Will schedule and maintain appointments, meetings, travel arrangements, expense accounts, reimbursements and billing arrangements. Responsibilities also include utilization of mainframe applications, web-based applications, Microsoft Office products and other existing systems in order to direct the flow of information and maintain office files and efficiency. Direct and frequent contact with other members of the Department and Company is required to supply or obtain information for the Vice President. Maintain, update and coordinate the Outlook calendar for the Vice President. Perform other related assignments as required and is available to work overtime as needed. Overtime may be required as needs dictate. Must be willing and able to substitute and/or cover for other executive assistants in the department or in the building as required. May be asked to maintain a company supplied blackberry (or other like device) for off-hour correspondence and tying up loose ends to increase interpersonal and office efficiency. Must be able to and willing to travel to any company locations requested for training, meetings, or as circumstances dictate. Candidate should be able to work ergonomically correctly and be able to sit for long periods of time. Candidate should be able to work full days and long hours without interruption.
