Qualifications: The Senior Vice President of Gas Operations is seeking a highly motivated individual who will report directly to the Sr. Vice President and assist with the administrative functions required by the Sr. Vice President and various Department staff. The successful candidate will have: • A minimum of 3 - 5 years’ experience in administrative support activities • Strong oral and written communication, interpersonal and organizational skills • The ability to work well in a team environment or independently • Demonstrate initiative and exercise discretion in coordinating projects, reports and information flow • Proficiency in MS Word, MS Excel and PowerPoint, with the ability to create charts, graphs and spreadsheets, prepare PowerPoint presentations and create electronic databases • To be detail-oriented with good analytical skills and ability to handle multiple tasks and projects with competing priorities and deadlines efficiently • Effective listening, verbal and written communication skills, with the ability to communicate effectively and handle internal and external contacts professionally with tact and sensitivity • Discipline and have excellent time management skills • Strong interpersonal skills as well as exemplary follow-up skills and ability to work effectively with employees at all levels • Ability to work with customers and support high expectations in customer service and response • To be adaptable to frequent changes in workload and willing to work overtime, with little or no notice, when business needs dictate.



Bachelor’s Degree is preferred

Responsibilities: The Executive Assistant will lead by example and set an environment that supports our Company’s cultural imperatives: Safety, Operational Excellence and improving the Customer Experience. The Executive Assistant will provide administrative support to the Sr. Vice President and Department staff to include answering telephones, maintaining and updating calendar, scheduling and coordinating meetings and appointments, assisting visitors, and resolving and referring a range of administrative problems and inquiries. Assist in organizing and maintaining corporate files (electronic and paper files), including searching, retrieving, and scanning documents into the office imaging system, maintain tickler system and create electronic databases. Schedule meetings and arrange conference rooms; alert Sr. Vice President about cancelations or new meetings. Work closely with Department and other staff to ensure timely provision of background and informational materials related to meetings involving the Sr. Vice President. Sort, review, screen and distribute incoming and outgoing mail; prepare, compose and ensure timely responses to a variety of routine written inquiries. Prepare confidential and sensitive documents and maintain confidentiality with respect to all correspondence in all aspects of Gas Operation’s work. Review, proofread, and edit documents developed for the Sr. Vice President’s signature. Create, maintain and track office reports and documents: e.g., invoices, reports, letters and other correspondence generated or received by the Sr. Vice President. Maintain and monitor the inflow and outflow of office supplies goods, arrange for repair and maintenance of office equipment, receive, store and maintain inventory of office supplies and equipment, and send, receive and sort mail and other packages. Make travel arrangements. Interact with corporate staff, clients and customers. Perform occasional research. Develop and maintain systems that alert the Sr. Vice President and staff of pending matters and upcoming deadlines. Perform other related tasks and assignments, as assigned. Any experience with the following technologies is a plus, but not specifically required: expense/procurement systems (i.e. Oracle I-Procurement, P-Card). Ensure implementation of Company safety, health and environmental programs for employees whose work is directed and that safe work practices are followed and the environment is fully protected in accordance with Company policy and governmental regulations; ensure a commitment to the Way We Work Principles, and adhere to the Company’s Standards of Business Conduct and other Company procedures including Environmental, Health and Safety (“EH&S”), Equal Employment Opportunity (“EEO”), discipline, and security.
